Your NDIS plan has three main funding categories: Core, Capacity Building, and Capital. You can’t just move money freely between them. This is the biggest error we see.

  • The Mistake: Using Core funding (for daily support) to pay for an expensive piece of Capital equipment (like a wheelchair). Or trying to use your Capacity Building funds (for therapy) to pay for a support worker (Core). The NDIA will reject these claims.
  • The Strategy: Know your three buckets. Core is flexible within Core (e.g., swapping a support worker hour for an hour of cleaning – if approved in your plan). Capacity Building is for building skills and is not flexible with other categories. An example of this is learning to use public transport with a carer. Capital is for high-cost items and is often ‘stated’ (meaning you must spend it exactly as written). Always check your plan’s line items first.

The “Set and Forget” Trap

Many participants don’t look at their budget until they get a nasty surprise, like running out of funds two months before their plan review or NDIS plan reassessment. NDIS funding is an annual budget. Although it’s now divided into smaller funding periods, you still need to manage it weekly and monthly.

Overspending early on high-intensity support, or the opposite, underspending because you haven’t set up services yet. This leads to gaps in support or a last-minute panic to use funds.

If you’re self-managed, use a simple spreadsheet or app. A good rule of thumb: if you’re halfway into your plan or your current funding period, you should have used about 50% of your flexible budget. If you are overspending or underspending, then talk to your Support Coordinator or Plan Manager about ramping up services.

Working with a Provider Who Doesn’t Match Your Management Type

How your plan is managed affects who can pay whom. Getting this wrong leads to payment delays and stress.

  • The Mistake: Trying to use an unregistered provider when your Core Support budget is NDIA-managed. The NDIA can only pay providers who are registered.

Letting an Invoice Slip Through Unchecked

When you’re working with multiple providers, it’s easy to assume the invoices are correct.

But not checking the claim against the service you received can cause problems. We sometimes see claims for support that didn’t happen or charges that don’t quite match, such as extra travel time.

This is where service agreements are really helpful. A service agreement clearly outlines what support will be provided, how often, and at what cost. It is just a case of writing down and sharing this with your provider and NDIS plan manager.

When this is written down, it’s easier for both you and your plan manager to see if an invoice doesn’t align with what was agreed. Also, if issues come up with your service provider, it is easier to refer to a written document that covers what was agreed in the first place.

If you have a Plan Manager, they check the invoices against the NDIS Price Guide, but you are the best person to check the time and date. If a support worker claims three hours but was only with you for two and a half, it’s okay to question it and ask for an adjustment.

By understanding these rules and being proactive, you can keep your funding on track and make sure every dollar goes towards your goals.
